Executive Assistant to the CEO of

Company Description is a remote recruiting firm that works with startups to hire cost effective employees in the Philippines and South America.

About the Role

As an executive assistant to the CEO, you will work with him directly to manage his schedule, communications and documents. The CEO is in charge of sales and marketing and works with him team to sell to software startups to help them hire executive assistants, marketing, sales, operations and other roles in the Philippines and South America.

Key Responsibilities

  • Calendar Management: Coordinate and manage the CEO's calendar, efficiently scheduling appointments, meetings, and conferences.
  • Communication Management: Manage all the CEO's incoming and outgoing correspondence, including emails and phone calls.
  • Document & Report Preparation: Prepare documents and reports, manage expenses and create organizational documents.
  • Meeting Coordination: Organize and coordinate meetings, including preparing agendas, scheduling attendees, tracking deliverables and following up.
  • Travel Arrangements: Arrange complex domestic and international travel itineraries for the CEO, including flights, accommodations, transportation, and visas.
  • Research & Reporting: Conduct research, compile data, and prepare reports or presentations as requested.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

Key Performance Indicators (KPIs)

  • Efficiency: Maintain "inbox zero" and manage high email volume (around 50 emails daily).
  • Project Management: Complete one large project weekly (e.g., grant application, planning weekend trip).
  • Accuracy: Ensure minimal revisions are required through accurate work.
  • Feedback: Receive and implement feedback from the CEO.

Qualifications and Skills

  • Proven experience as an executive assistant or similar role, supporting C-level executives.
  • Experience with a variety of software tools such as calendars, document file systems, social media networks
  • Strong English communication skills, both written and verbal, with a high level of professionalism.
